ALUMNI ENGAGEMENT PROGRAM MANAGER Advancement Classification: Class Code 2402 / Level 2 / Non-Exempt / Full-Time / Represented / Benefited Anticipated hiring range: $30-$36/HR (commensurate with experience)
THE ROLE and responsibilities The Alumni Engagement Program Manager plays a critical role in supporting the UC Law SF Alumni Association. Reporting to the Chief Alumni Officer & Executive Director of the UC Law SF Alumni Association, the Manager serves as the primary administrative liaison for the Alumni Association Board of Governors, oversees regional alumni chapters and alumni affinity groups, organizes and supports Advancement and Alumni Association and supports the Chief Advancement Officer with various administrative and office support tasks as needed. Housed within the Office of Advancement, the Alumni Association supports events and engagement opportunities for UC Law SF alumni.
Typical duties and responsibilities consist of, but are not limited to, the following:
Engagement Duties - In partnership with the Chief Alumni Officer, manages event logistics and communications for key engagement events for students and alumni.
- Oversees a subset of chapter and affinity groups ensuring they remain active and engaged. Responsibilities include working with chapter and affinity group leadership, organizing and attending events, and communications.
- Maintains the alumni email inbox, online network, and phone line daily, ensuring timely and professional communication and reporting alumni trends.
- Collaborates with the Chief Alumni Officer to manage and maintain engagement calendar.
Board Duties - Supports the Alumni Association Board of Governors, including preparing the meeting materials, coordinating committee meetings, and executing board events/meetings.
- Provides comprehensive administrative assistance and serves as the primary liaison for Board of Governors activities, communications, and requests.
Advancement Duties - Provide logistical and administrative support to the Advancement Office, including organizing, updating, and reporting on donor and alumni information, preparing meeting materials, supporting events replated to the Comprehensive Campaign and tracking follow-up tasks.
REQUIREMENTS
EDUCATION AND EXPERIENCE - Bachelor's Degree and three years of administrative work experience, including complex event management and coordination experience. Two additional years of directly related experience in external relations may substitute for the degree.
- Experience with volunteer boards for a nonprofit organization preferred.
- Higher education experience preferred.
KNOWLEDGE SKILLS & ATTRIBUTES - Must be able to communicate effectively both orally and in writing, and represent the office in a highly professional, pleasant, and efficient manner.
- Strong writing and proofreading skills in the areas of grammar, punctuation, format, and style
- Superior organizational skills.
- Must be able to effectively execute numerous events and projects in a very high-pressure, extremely fast-paced work environment. The Advancement office is a critical department for the school and staff members are expected to be proactive, highly customer-service oriented, and provide timely follow up.
- Demonstrated ability to prioritize, exercise initiative, perseverance, and sound judgment.
- Strong attention to detail with a goal of achieving high-quality accuracy in work.
- Demonstrated ability to work independently and complete work with limited supervision and training.
- Ability to interact diplomatically with diverse groups.
- A positive, gracious, can-do attitude, and ability to remain focused and calm in the midst of changing priorities and deadlines is a must.
- Able to deal with frequent interruptions and work effectively and harmoniously in an open office environment.
- Must have a strong aptitude for learning new skills quickly and in depth.
- Proficient in Microsoft Word, Excel, PowerPoint, data entry, and online applications.
- Basic understanding of databases and experience in Raiser's Edge preferred.
- Must be available to attend occasional evening events and work at board meetings, which are scheduled on weekends.
